How to use

Step 1: Open Documents → Invoices

From the left menu, choose “Documents” and then the "Invoices" tab.

Step 2: Upload a new invoice

  • Click “Upload Invoice”
  • Drag & drop a file or choose from disk (PDF, PNG, JPG)
  • Enter metadata: supplier, tax date, amount, variable symbol
  • Assign a category (e.g., “Energy”, “Maintenance”, “Insurance”)

Step 3: Set permissions

  • HOA Board: full access (read/edit)
  • Owners: read-only (selected categories according to settings)
  • Manager: full access within assigned properties

Step 4: Save and review

After saving, the invoice appears in the list with a preview and approval status.

Search and filtering

  • Full-text by supplier, variable symbol, amount
  • Filters: period, category, status (new/approved/paid)
  • Saved views for quick access (e.g., “Energy Q1”)

Export and backups

  • Export selected invoices to ZIP
  • Export list to CSV (date, VS, amount, category, status)
  • Automatic backups to secure storage

Tips and tricks

  • Use labels for project-related invoices (e.g., “Elevator renovation”)
  • Attach a related contract or board minutes to the invoice
  • Enable notifications for newly uploaded invoices
